Staffapp.ai (“Staffapp,” “we,” “us,” or “our”) is a product of Assistiq Inc. This Privacy Policy describes how we collect, use, store, and share information when you use our workforce management platform at staffapp.ai and any related services (the “Service”).
By using the Service, you agree to the collection and use of information as described in this Privacy Policy. If you do not agree, please do not use the Service.
1. Information We Collect
1.1 Account Information
When you create an account, we collect:
- Full name
- Email address
- Phone number (if provided)
- Job title and department (if provided)
- Profile photo (if uploaded)
- Password (stored in hashed form — we never store plain-text passwords)
1.2 Organization and Employee Data
When an organization uses Staffapp to manage its workforce, authorized administrators may enter information about their employees, including:
- Employee names, email addresses, and contact information
- Employment type (full-time, part-time, contractor)
- Department and job role
- Compensation details (hourly rate or salary, payment frequency)
- Work schedules and shift assignments
- Time-off requests and history
- Hours worked and timesheet records
- Payroll preparation records (gross pay, deductions, net pay calculations)
This data is entered and managed by the organization’s administrators. Staffapp processes this data on behalf of the organization.
1.3 Location Data (GPS)
Important — GPS Disclosure
When employees use the GPS clock-in feature, we collect precise geolocation data (latitude and longitude) at the time of clock-in and clock-out. This data is used to verify that employees are at their assigned worksite when recording attendance.
- Location data is collected only at the moment of clock-in and clock-out — we do not continuously track employee location.
- Location data is stored alongside the corresponding time entry record.
- GPS clock-in is enabled by the organization’s administrator. Individual employees may be required to use GPS clock-in as a condition of their employer’s attendance policy.
- Employees are notified when GPS verification is active through visible indicators in the application.
1.4 Communication Data
When you use Staffapp’s team chat feature, we collect:
- Message content (text messages sent between users)
- Message metadata (sender, recipient, timestamp, read status)
- AI assistant conversation history (questions asked and responses provided)
Chat messages are stored to provide the Service and are accessible to participants in the conversation. Organization administrators may have access to team chat data as part of their management responsibilities.
1.5 Device and Usage Data
We automatically collect certain technical information when you use the Service, including:
- Browser type and version
- Operating system
- Device type (desktop, mobile, tablet)
- IP address
- Pages visited and features used
- Date and time of access
- Referring URL
1.6 Cookies and Similar Technologies
We use cookies and similar technologies to maintain your login session, remember your preferences, and understand how you use the Service. We do not use cookies for third-party advertising. See Section 7 for details.
2. How We Use Your Information
We use the information we collect to:
- Provide the Service: Create accounts, manage organizations, process schedules, track time, and prepare payroll data.
- Communicate with you: Send notifications about schedules, shift changes, time-off decisions, and other operational updates.
- Improve the Service: Analyze usage patterns to fix bugs, improve features, and develop new functionality.
- Provide AI-powered features: Process questions submitted to the AI operations assistant and generate informational responses based on your organization’s data.
- Ensure security: Detect and prevent fraud, unauthorized access, and other security issues.
- Comply with legal obligations: Respond to legal requests and enforce our Terms of Service.
We do not sell your personal information to third parties. We do not use your data for third-party advertising.
4. Data Retention
- Account data: Retained until the account is deleted.
- Organization data: Retained until the organization’s account is terminated.
- Time entries and payroll records: Retained for the duration of the organization’s account.
- GPS location data: Retained alongside time entry records for the duration of the organization’s account.
- Chat messages: Retained for the duration of the organization’s account.
- AI conversation history: Retained for up to 90 days, then automatically deleted.
- Server logs: Retained for up to 12 months.
After account deletion, we will delete or anonymize personal information within 30 days of a verified deletion request, except where retention is required by law.
5. Data Security
We implement appropriate technical and organizational measures to protect your information, including encryption in transit (TLS/HTTPS), encryption at rest, row-level security (RLS) policies to isolate organization data, role-based access controls, and secure authentication with hashed passwords.

6. Your Rights
Depending on your location, you may have the right to access, correct, delete, or port your personal information, or to object to its processing.
For employees: If your employer uses Staffapp to manage your work data, please contact your employer first. Your employer is the data controller for employment-related information. We will assist your employer in responding to your request.
For organization administrators: You can access, export, and delete employee data within the application. For account deletion, contact us at hello@staffapp.ai.
California Residents (CCPA)
If you are a California resident, you have additional rights under the CCPA: the right to know what personal information we collect, the right to request deletion, the right to opt out of the sale of personal information (we do not sell personal information), and the right to non-discrimination. 8. Children’s Privacy
Staffapp is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children under 18. If you believe a child under 18 has provided us with personal information, please contact us at hello@staffapp.ai.
9. International Data Transfers
Staffapp is operated from the United States. If you access the Service from outside the United States, your information may be transferred to and processed in the United States, where data protection laws may differ from your jurisdiction.
10. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. When we make material changes, we will post the updated policy on this page with a new “Last updated” date and send an email notification to account administrators.
